When one system clicks, I catch myself piling on more and double-checking every detail. How do you avoid over-engineering and stay focused on the few processes that actually move the needle?

I keep it super simple ie "I'm asking what are we optimising for" & "what is the prospect/customer optimising for" - ie faster, higher quality, more Volumes, easier/less friction, as examples.. then i weight them to prioritize. I have a strategy concept called the Podium - there are only 3 spots - Gold, Silver & Bronze. Gold is always more than 50% of the focus. There is never more than 3 things on my list. I hope this helps 🌞

This is really a great breakdown, Chris and Ruben. I am always looking for ways to reduce my number of clicks on repeatable tasks, and the huge list of tools you shared is gonna help. What are your top three tools (aside from the usuals) that you've lately relied on to create more robust systems?

I would say Zapier, N8N, Tray.io + OpenAI Operator - we're literally spaghetti AI at Notion

The step-by-step breakdown and tool suggestions are super useful—especially those AI documentation ones. Have you found any of them stand out above the rest? Curious to know your thoughts!
